I. Purpose and Objectives

Midocean University adopts this policy as a commitment to providing a healthy and safe working and learning environment for all staff, students, and visitors, in alignment with global health trends and international institutional standards.

II. Scope

This policy applies to:

  • All physical spaces of the University, including administrative offices and any institutional facilities where university activities are conducted.
  • The virtual environment during any online lecture or meeting when participants are on camera.
  • All university staff, regardless of job role or type of contract.
  • Students during any official, in-person university event.
  • Visitors and guests across all institutional facilities.
  • The University’s official digital platforms, including the prohibition of promoting any tobacco-related products.

III. Key Policy Provisions

  • Smoking in all its forms—including traditional cigarettes, e-cigarettes, heated tobacco products, and shisha—is strictly prohibited within all university offices and administrative spaces, as well as during lectures and online seminars.
  • Smoking is permitted only in designated smoking areas, where available, in accordance with approved safety regulations.
  • The promotion of any tobacco or smoking-related products through the University’s official channels and platforms is strictly prohibited.
  • Smoking cessation support services are provided through the Employee Assistance Program (EAP) referenced in the second policy.
  • Regular health awareness campaigns are conducted through the University’s digital platform.

IV. Responsibilities

Human Resources Department:

  • Include this policy in the employee onboarding package and ensure acknowledgment by all new staff.
  • Oversee the implementation of the policy and monitor compliance.

Supervisors and Department Heads:

  • Ensure compliance with the policy among their team members.
  • Report violations to the relevant authority in accordance with approved procedures.

V. Violations and Disciplinary Actions

  • First violation: Verbal warning and written reminder of the policy.
  • Second violation: Formal written warning to be placed in the employee’s personnel file.
  • Third violation and beyond: Appropriate disciplinary action in accordance with applicable institutional regulations.

VI. Review and Update

This policy shall be reviewed every two years, or immediately upon the issuance of relevant new public health regulations.
